Join Our Team as an Administrative Assistant

 
Smith and Associates P.C.  is a Lakewood CPA firm looking for a responsible and highly skilled Administrative Assistant. This position is a critical element in the business that keeps the office running smoothly.  The responsibilities include taking care of our clients in person and on the phone, assisting partners and staff, and performing some light bookkeeping.

Responsibilities include but are not limited to:

OFFICE ADMINISTRATION

  • Opening office daily and on time at 8:00 A.M. and closing office at 5:00 P.M.
  • Organizing and maintaining general office and kitchen areas.
  • Answer phones and greet customers
  • Open mail and distribute. Update mail log and print postage.
  • Procure supplies, equipment, and services for staff.
  • Plan and coordinate office parties and events.

ACCOUNTS RECEIVABLE

  • Record clients checks/payments into accounts receivable computer module and send out monthly statements to clients. Follow-up on past due accounts.

PROVIDE GENERAL AND ADMINISTRATIVE SUPPORT FOR PARTNERS AND STAFF

  • Print and assemble client’s financial statements.
  • Scan tax information for tax preparation, assemble tax returns and maintain tax control sheet.
  • Assist with client correspondence, letters and proposals.
  • Perform miscellaneous scanning, filing, faxing and copying duties.
  • Assist accountants with bookkeeping and payroll as needed.
  • Recommend changes to improve workflow procedures.

EXPERIENCE AND EDUCATION REQUIREMENTS

  • High School diploma required. Associates degree a plus but not required
  • 3-5 Years’ experience in a professional office environment
  • Ability to maintain confidential business and sensitive information
  • Ability to manage a variety of tasks and assignments and meet deadlines.
  • Accounts Receivable experience required
  • Microsoft Office proficiency including Word, Excel, and Outlook. Power Point a plus but not required.
  • Experience using QuickBooks and knowledge of ACS accounting software a plus but not required
  • Extremely detail oriented and organized
  • Excellent communication skills
  • A “can-do” attitude
  • Must be dependable
  • Must be willing to submit to a criminal background check.
